One Recurring Admin Job, Built Into a Team You Can Run

Running a group of veterinary practices, the same administrative questions arrive from every location and land in a different inbox. A stock count that disagrees with a supplier invoice. A new site's opening checklist half finished. A monthly summary assembled from email threads.

Zati is a workspace where you organize AI workers into a team with defined jobs — so this work has owners, outputs you can inspect, and a clear point where your people decide. In a hands-on workshop, you build it with David and learn to keep it running yourself.

Book your free 30-minute discovery call

Start with something useful. Keep it either way.

Your first conversation with David is free. You receive an audit of your website's SEO, AEO and GEO, a preview of how a redesign could look, and a demo of what we could build for your business.

Bring your website and one recurring administrative job with a sample of its inputs. We will discuss where inquiries get stuck, which locations disagree, and which jobs would benefit from an AI worker. You keep the audit report and redesign preview whether or not you book a workshop. No strings attached.

One prospective workflow we can build together

Take the first workflow we would scope: supplier invoice and stock export → a cross-location discrepancy brief. No clinical or PMS write.

In practice that looks like this: a worker assembles the invoice line and the stock export entry with their source references; a second worker drafts the brief showing both values for each disagreement and lists unanswered questions; a reviewing worker tests the draft against your instructions and flags anything unsupported; a chief worker reads the reviewed result and reports what remains open. Every step has an owner, an input and an expected output, so a draft that misses the mark returns to the drafting worker rather than reaching you half finished.

The output is a document with a defined shape: the discrepancy brief, with source references, unresolved questions, and the location affected. Staff confirm quantities, pack sizes and purchasing choices; managers approve orders or record corrections before anything reaches a supplier. Clinical and patient-care decisions remain entirely with your veterinary team.

What we build with you

A website people can find and understand

Use the audit to improve technical SEO, service pages, the mobile experience and the contact path for each location. AEO and GEO work makes your business information clearer and easier for answer engines to access and interpret. We redesign the agreed pages with you and show you how to update them, so the next improvement does not have to become another development project.

A voice agent for your phone inquiries

Set up an xAI voice agent around your business information, common questions and the details you need from callers. Work through the call flow together and test what happens when the agent needs a person. We agree on any booking, quotation, transfer or connected-tool action before including it — your practice decides what can be handled automatically and what needs your confirmation.

An AI-worker organization with clear responsibilities

Give workers useful jobs and name the roles. For a practice group, a starting team could include a chief of administration holding the sequence, review points and reporting line; a stock and invoice reviewer working from your exports and supplier documents; and a reporting analyst assembling approved location updates into a group summary. Each carries its own instructions, material and definition of done, so a conversation about a discrepancy stays with the reviewer who owns it.

We also create workers to help maintain SEO, AEO and GEO: review pages, identify gaps, suggest updates and prepare changes for your review. We design roles, instructions, context and handoffs using Zati, Muse or GrokBot where the selected platform suits your work.

The skills to keep it working

You do the work alongside David. Practice changing information, reviewing a worker's output, spotting a mistake and making the next improvement yourself. You finish operating the agreed setup, holding your accounts, the operating guidance and a practical routine for checking and improving the work.

Choose the workshop depth that fits

Practice asking workers for tasks, reviewing their work and improving instructions through conversation.

The free call helps us agree on a useful finish line and the right package. Each package has a written scope and quote.

  • 2 hours — focus on one agreed improvement or one worker, with hands-on practice and clear next steps.
  • 4 hours — work through a focused workflow and its maintenance routine, with time to test and repeat the changes yourself.
  • 8 hours — develop a broader setup across the agreed website, voice or worker tasks, with more practice on how the pieces fit.
  • 16 hours — connect several agreed parts of the business and build confidence operating, checking and improving the setup.
  • 32 hours — a deeper, multi-workflow programme with time for implementation, repeated practice and a more extensive operating playbook.

Hosting is optional. If you want free website hosting, we help set it up and show you how to manage it; you can also keep a suitable existing host. Domain renewals, phone and AI usage, and any paid software remain separate, and we identify those costs before the workshop.

Questions before you begin

Is this clinical AI? No. The starting configuration is administrative — invoices, stock, checklists and reporting. Clinical decisions stay with your veterinary team.

Can you guarantee rankings or AI citations? No. We improve the agreed pages and create a maintenance process; search and answer engines determine their own results.

How much of our process do we have to change? Less than you might expect. You bring the recurring responsibility, the inputs you already have and the result your managers use today, and we shape the assignments around them.
